Deposit Item List - Simple Deposits

The Deposit Item List page displays general deposit information, as well as specific information about each item in the deposit. From this page, you can monitor deposit information as you capture items and, as necessary, make any required changes to individual deposit items or the deposit details to complete the deposit. Once completed, the deposit is sent to your bank for further processing.

The page displays information about your current deposit in two main areas of the page (the Deposit Information summary and the Scanned Items list).

The Deposit Information summary shows the current processing status and balancing information for the deposit. Depending on how your system is configured, balancing information will be displayed in one of two ways.

If the deposit uses a declared amount, the summary information will include the following fields:

Declared amount ($)

The total amount entered for the deposit when the deposit was created. You can change the declared amount by entering a new value, then clicking the Save button.

Current Amount ($)

The total current amount recognized for all items in the deposit.

Balancing difference ($)

For a simple deposit with a declared amount to be considered balanced, the Declared amount ($) must match the Current amount ($).

If the values match, the Balancing difference ($) will be 0 and green, indicating the deposit is balanced.

If the Declared amount ($) does not match the Current amount ($), the Balancing difference ($) will be red, indicating the deposit is not balanced. If the value is contained in brackets, the declared deposit amount is less than the total value of the deposit items. If the value is not in brackets, the declared deposit amount is greater than the total value of the deposit items.

If the deposit does not use a declared amount, the summary information will include the following fields:

Credit total ($)

The total current amount recognized for all credit items in the deposit.

Debit total ($)

The total current amount recognized for all debit items in the deposit.

Balancing difference ($)

For a simple deposit without a declared amount to be considered balanced, the Credit total ($) amount must match the Debit total ($) amount.

If the values match, the Balancing difference ($) will be 0 and green, indicating the deposit is balanced.

If the Credit total ($) does not match the Debit total ($), the Balancing difference ($) will be red, indicating the deposit is not balanced. If the value is contained in brackets, the total value of credit items in the deposit is less than the total value of the debit items in the deposit. If the value is not in brackets, the total value of credit items in the deposit is greater than the total value of the debit items in the deposit.

The Scanned Items list displays a record for each item that is part of the deposit and has been captured from the scanner. The list may include the following fields:

Errors

Indicate whether the item's data fields require your attention. These items are identified with a warning (warning icon) icon.

On large deposits it is sometime difficult to see all the items that you must correct. You can use the filter feature to show only error items, (or to hide all errors). To access the error filter, click the Set Filter () icon to the right of the Errors heading.

  • To set the filter to show only errors, click Show Errors.
  • To set the filter to hide all errors, click No Errors.

Once you set a filter, a new "Clear Filter" icon appears to the right of the Errors heading. Click this icon to remove the filter and view all items.

Tasks

Identify actions you can perform on the item.

  • Click the Edit () icon to view the item's image and edit the item's item information on the Edit Deposit Item page.
  • Click the Delete () icon to remove the item from the deposit.
  • Click the Reject (icon_reject) icon to reject an item and remove it from the deposit.

Auto Balance

Identifies whether the deposit contains an auto-balance item. If the deposit contains an auto-balance item, it will be indicated by a special icon (icon_auto_balance) in the Auto Balance column.

The auto-balance item is a special virtual item that has a Post amount ($) value that is automatically assigned (and updated if items are subsequently added or removed from the deposit) to bring the Balancing difference ($) of the deposit to 0.

Item Type

The document identification applied to this item.

Post Amount ($)

The dollar amount of the item.

Sequence

The sequence number assigned to the item.

Separate sequences are used for credit items (virtual credit items, bank credit items, and credit item rejects) and non-credit items (cheques, non-proof items, and unknown items).

  • Credit items will have a separate sequence, starting with a value of 1 and incrementing by 1 whenever a new credit item is added or when a non-credit item is reclassified to a credit item.
  • Non-credit items in a deposit will have a separate sequence, starting with a value of 1 and incrementing by 1 whenever a new non-credit item is added or when a credit item is reclassified to a non-credit item.
  • The virtual credit item will have a sequence number of 0 (which may not display depending on how your system is configured).

If your system is configured to display item classification identifiers, you will see also one or more additional values prepended to sequence numbers to indicate the corresponding item classification type to which an item belongs (for example, you may see a value of "CR" to identify credit items.

If the deposit is associated with an account configured to use a debits-first item order, note that non-credit items will appear before credit items.

Completing a Simple Deposit

After scanning all deposit items, depending on how the bank has configured the application, the actual steps you must perform to complete (finish) the deposit will vary, and could include:

Once all required changes have been made, the Complete button will turn green to indicate that the deposit is ready and can be sent to your bank for further processing.
